A spreadsheet can run a tiny lot, with free cost and total control, but it does not generate paperwork, track leads, connect costs to cars or protect against mistakes. Dealership software connects inventory, costs, leads, deals and forms. Move when you spend more time retyping than selling, or when errors begin to cost money.
Differences at a glance
| Spreadsheets | Dealership software | |
|---|---|---|
| Cost | Free | Free to paid, depending on the product |
| Setup | Minutes | Hours, plus moving data |
| Vehicle records | One row per car | A record with photos, status, costs and history |
| Paperwork | Separate templates, retyped | Forms generated from the deal |
| Leads | A separate list or none | Pipeline with statuses and sources |
| Profit per car | Manual | Costs attached to each car |
| Mistakes | Easy to make, hard to see | Fewer, because details are entered once |
When a spreadsheet is enough
With a handful of cars and one person doing everything, a spreadsheet is fine. It is flexible and you already know how to use it. Keep a stock number, purchase date, cost lines, asking price and status in separate columns, and back it up.
Signs you have outgrown it
- You retype the same details on several forms.
- Two people edit different copies.
- You cannot say how long a car has been on the lot without searching.
- You do not know the true cost of the last five cars you sold.
- Leads live in your email and your head.
- A paperwork mistake has cost you time or money.
The guide move from spreadsheets to dealership software covers the switch step by step.
What changes when you move
You trade flexibility for structure. Fields are fixed, which feels restrictive and is the reason errors fall. You must enter data when things happen rather than at the end of the week.
You also choose between cloud and installed software, and between monthly and one-time pricing. See desktop versus cloud and one-time versus monthly cost.
Where Dealer Garage fits
Dealer Garage has a free plan that covers inventory, cost tracking, VIN decoding, leads, customers, deals, window stickers and backups, and works offline. If you can import or retype your stock once, it replaces the spreadsheet without a monthly bill. It will not suit you if you need a cloud product with many integrations; the choice is yours.
A worked example
A lot with fifteen cars keeps a sheet for stock, another for leads and Word templates for paperwork. When a buyer arrives, the salesperson types the VIN, price and buyer details into three documents. Over a week, the retyping takes several hours and two documents disagree on the mileage. After moving to dealer software, the details are entered once and the forms read from the record. The time saved goes to answering leads.
