Dealer Garage Problem and fix

Leads from listing sites get buried in your email

Updated October 12, 2026·2 min read
Short answer

Leads from listing sites land in the same inbox as everything else and get answered late or not at all. Fix it with a dedicated mailbox, notifications and a reply routine. Dealer Garage Basic reads a mailbox you choose, including ADF/XML lead emails, and turns each one into a lead with the customer and vehicle attached.

What the problem looks like

A buyer enquires about a car on a listing site at 7 p.m. The email arrives between a supplier invoice and a newsletter. You see it the next morning, reply at ten and learn that the buyer visited another lot at nine. Speed decides many used-car sales, and an inbox is a poor place to run a pipeline.

The messier version: some enquiries come as a plain email, some as structured lead data, some by text message. Nobody knows which are new, which have been answered and which became sales.

Why it happens

Listing sites send leads by email because email is universal. That is convenient for the sender and inconvenient for you: there is no status, no owner and no reminder. Anyone can reply, and nobody knows who did.

Our guide on how fast a dealer should answer a lead covers why minutes matter.

Fixes that work without new software

  • Use a dedicated mailbox for listing-site leads so that nothing else competes with it.
  • Turn on phone notifications for that mailbox only.
  • Agree who answers, and when, so that every lead has one owner.
  • Write three reply templates (available, price question, trade-in) and personalise the first line.
  • Record each lead in a simple list with the date, source, vehicle and outcome.

Where Dealer Garage helps

With Basic, Dealer Garage checks a mailbox you choose over IMAP, reads lead emails, including the ADF/XML format that many listing sites use, and creates a lead with the customer's name, contact details and the vehicle of interest. Each lead has a status from New through Test drive and Negotiation to Won or Lost, a source and a priority, so you can see what needs attention.

The lead board lets you drag leads between stages, and the dashboard shows leads by source, so you learn which listing sites bring buyers. See listing-site lead sync and lead management.

What it does not do

Dealer Garage reads email you already receive. It does not replace the listing site and does not reply for you. You still need to answer quickly; the app makes sure you know a lead exists and what it is about.

A weekly habit

Once a week, look at leads by source and by outcome. Cancel or reduce a listing that sends many enquiries and no visits, and improve photographs and descriptions where visits are high but sales are low. See marketplace listing tips for what to change.
