The We Owe / You Owe form explained

Updated October 9, 2026·1 min read
Short answer

A We Owe / You Owe form is a short written record of anything either side has promised but not yet delivered at the time of sale: a second key, a repair, a new set of mats, a missing document. Both parties sign it. It avoids later disagreements about what was agreed.

What goes on it

  • Items the dealership owes the buyer, with a due date.
  • Items the buyer owes the dealership, for example a trade-in key or lien documents.
  • Names, vehicle, date and signatures.

Why use it

Verbal promises at a busy desk are forgotten. A signed list says exactly what was agreed and when, and gives the service department something to work from.

In Dealer Garage

The form is part of the at-sale set. See dealer paperwork forms.

Example entries

  • We owe: second key fob by Friday; replace worn wiper blades.
  • You owe: lien discharge letter for the trade-in within ten days.

Give each item a date so nothing sits unresolved.
