Most dealers know the purchase price and the sale price but not the repairs, detailing, safety inspection and fees in between, so the profit they think they made is higher than the real one. Record every cost against each vehicle. Dealer Garage keeps each cost line with its vendor and shows total cost and gross at list price.
What the problem looks like
You bought a car for 8,000, sold it for 10,200 and think you made 2,200. But there was a 640 repair, 120 for detailing, 85 for the safety inspection, auction fees and a week of interest on the money tied up. The real figure is much lower. You discover this at year end, when the accountant's total is smaller than your estimate.
The danger is that you repeat the mistake: you keep buying the kind of car that looks profitable and is not.
Why it happens
Costs arrive from different places at different times. A mechanic's invoice, a petty-cash purchase, a card payment for parts: none of them are labelled with the car they belong to. By the time the car sells, the receipts are in a drawer.

Fixes that work without new software
- Give every car a stock number and write it on every receipt.
- Keep a folder or envelope per vehicle for invoices.
- Use a simple sheet with one row per cost and columns for stock number, date, vendor and amount.
- Review the sheet when a car sells and write the final figure on the deal.
- Add a line for time: carrying interest and floor-plan fees if you use them.
Where Dealer Garage helps
Dealer Garage lets you record each cost against a vehicle: the purchase price, repairs, detail, safety inspection and fees, each with its vendor and amount. It shows total cost and gross at list price, so you can price a car knowing what you have in it. Because vendors are a list (auctions, wholesalers, mechanics, detailers), you can see what each source has cost you.
The dashboard shows top sellers and the fastest and slowest movers, so you learn which kinds of vehicles actually earn money. See vehicle cost tracking and vendor tracking. Both are in the free plan.
What it does not do
Dealer Garage records the costs you enter. It does not import your bank statements or accounting data, and it is not accounting software. Treat it as the place where each vehicle's costs live, and your accountant's books as the place where the business's money lives.
