Open Reports in the Host, choose the date range, group by client or project, filter to the client you are invoicing, review totals and activity, then save or export the report. It shows total time, activity percentage, calls, screenshots and cost. Use the figures to prepare the invoice in your own accounting tool.
Before you start
Agree with the client how time is billed and what evidence they receive. Decide whether to share screenshots, and tell the people being tracked.
Make sure projects and tasks are named clearly (see organise clients, projects and tasks).
Steps
- Open Reports in the Host.
- Choose the date range for the invoice period.
- Group by client, then project or task, and filter to the client you need.
- Review total time, activity percentage and cost. Look for oddities: unusually long days, time on unexpected tasks.
- Switch to the day-by-day matrix if the client wants detail.
- Save the report or export it, and base your invoice on it.
Check that it worked
The total should match the sum of the rows, and a spot check against a day you remember should agree.
If something goes wrong
- Time is missing. Check the date range and that the person tracked to the right project.
- Offline time not shown yet. The app sends queued minutes when it reconnects.
- Rates are wrong. Check pay rates and effective dates.
What to do next
Read reports and exports, track billable hours for clients and client invoices do not match hours.
Reading the report with a sceptical eye
Before you send anything, scan for the odd: a day with ten hours from someone who normally works six, a long gap followed by a long entry, a task that does not belong to the project. Most are innocent, such as a forgotten stop. Fix them with the person, then run the report again.
Round consistently. If you bill to the nearest quarter hour, do that for every line rather than choosing case by case.
What to share with a client
Share the minimum that supports the invoice: dates, tasks, hours. Screenshots reveal other work and other people, so agree in advance whether you will share any, and tell the person tracked. A short summary by project is usually enough, and a day-by-day listing is there if they ask.
