Set up each client with its projects and tasks, require a project and task when the timer starts, run a report by client and project for the invoice period and export it to Excel or PDF. Review it before invoicing and keep screenshots and notes as backing if a client questions a line.
Set up
- Add the client and its projects in Clockgauge.
- Add tasks for the kinds of work you bill.
- Assign people to projects.
- Require project and task so nothing is untagged.
Billing cycle
- At the end of the period, open Reports and group by client then project.
- Filter to the client and export to PDF or Excel.
- Check for odd entries: very long sessions, mouse-only minutes.
- Invoice from the report.
Budgets
Put a budget on fixed-fee projects so you see overruns early. See project budgets.
A worked invoice
For a client with two projects in March, a report grouped by project shows 62 hours on the website project and 18 on the retainer. Multiply by your billing rates, or export to a spreadsheet, and invoice. Because each hour is tied to a task, you can also show the client a breakdown on request.
Questions people ask
Does Clockgauge produce invoices?
Not currently. It produces the time reports you invoice from.
