Dealer Garage Problem and fix

Deal paperwork takes too long and has mistakes

Updated October 12, 2026·2 min read
Short answer

Paperwork goes wrong when the same details are typed onto several forms by hand. A fixed checklist and one source for buyer, vehicle and price reduce errors. Dealer Garage builds the bill of sale and other forms from the deal itself, with a template for each Canadian province and territory and for the United States.

What the problem looks like

A buyer is ready to sign. You open a form, type the buyer's name and address, the vehicle's VIN and mileage, the price, the taxes and the total. Then the next form needs the same details again. By the third form your attention is on copying, not on the customer, and a digit is transposed in the VIN or the price on one form no longer matches another.

Mistakes in dealer paperwork are not cosmetic. A wrong VIN, a missing odometer statement or a total that differs between documents can delay registration, annoy a lender or lead to a dispute weeks later.

Why it happens

Most small lots work from blank templates in a word processor or from printed pads. Each form is independent, so nothing connects the price on the bill of sale to the amount on the finance form. The details exist in your head and in the deal, but the forms do not know about them.

Pressure at the moment of sale makes it worse. Customers wait, phones ring and the temptation is to rush.

Fixes that work without new software

  • Use a deal jacket checklist so every sale has the same documents in the same order. See the deal jacket checklist.
  • Complete forms in a fixed sequence and copy details from one master sheet rather than from memory.
  • Have a second person check VIN, mileage and totals before the customer signs.
  • Keep an up-to-date template per form, with the dealership details already filled in.
  • File each completed deal the same day so missing items surface while the customer is still reachable.

Where Dealer Garage helps

In Dealer Garage you build the deal once: the selling price, warranties, fees and accessories, minus the trade-in, with the tax components set for your region, then licence, fuel, any lien payout and the deposit. The bill of sale and other forms are then generated from that deal, so buyer, vehicle, price, taxes and total are the same on every document.

The library has ready-to-fill forms: 50 or 51 for each Canadian province and territory and 47 for the United States, covering pre-sale, at-sale, financed deals and after-sale needs. See the deal builder and dealer forms by region.

What it does not do

Dealer Garage provides templates to fill and print. It does not give legal advice, and rules vary by region and change over time. Confirm requirements with your regulator or a qualified adviser. The bill of sale and the garage register are part of the Basic plan; the deal builder and many forms are in the free plan.
