How to build a deal and print the bill of sale

Updated October 12, 2026·2 min read
Short answer

Create the deal and enter the figures: selling price, warranties, fees and accessories, trade-in, tax lines for your region, licence and deposit. Dealer Garage builds the balance due, then generates the bill of sale as a PDF from the deal. Print it, have the buyer sign and file a copy. The bill of sale is part of Basic.

Before you start

Set up your tax lines (for example HST, or GST and PST) for your region, and check that your dealership details are in Settings.

The bill of sale uses a template for each Canadian province and territory and for the United States. Confirm the template with your regulator's current requirements.

Steps

  1. Open the customer and the vehicle, and create a deal.
  2. Enter the selling price, then add warranties, fees and accessories.
  3. Add the trade-in value if there is one, and any lien payout.
  4. Check that the tax lines apply as you expect; tax is applied to the net difference after the trade-in.
  5. Add licence, fuel and the deposit. If the deal is financed, add insurance and the lien registration fee.
  6. Review the total balance due, then generate the bill of sale PDF, print it, have the buyer sign and file a copy.

Check that it worked

Compare the total on the bill of sale with the deal screen, then with your calculator, once.

Check the VIN and mileage on the PDF against the car.

If something goes wrong

  • The tax looks wrong. Review the tax lines set for your region.
  • The form is not the one you need. Check the forms for your region.
  • A field is empty. Fill the missing detail in the vehicle or customer record and generate again.

What to do next

Read the deal builder, bill of sale and what to put on a used-car bill of sale.

Checks before the customer signs

  • VIN and mileage match the car.
  • Buyer name and address match their identification.
  • Price, trade-in value and deposit match what was agreed.
  • Tax lines are right for the customer's region.
  • Any as-is or warranty wording is correct.

Read the guides on odometer disclosure and as-is sales disclosure.

A worked example

A buyer agrees to a price with a trade-in and a deposit. The salesperson enters the price and the trade-in, and the deal builder applies tax to the net difference. Fees and the deposit are added and the balance due appears. She generates the bill of sale, checks the figures with the buyer on the screen, prints it and files the signed copy in the deal.
