How to pay freelancers from tracked time in Clockgauge

Updated October 12, 2026·2 min read
Short answer

Set each person's hourly rate, let them track time to projects, and open their pay view to see earned, paid and unpaid. Mark an amount as paid (you can edit the amount), put a payment on hold or cancel it. Clockgauge records what is owed and what you have marked paid; it does not move money.

Before you start

Agree rate, review period and evidence with the freelancer first, in writing. Salaried people can be set up without payment tracking.

Local rules on contractors, employment status and taxes apply; take advice.

Steps

  1. Set the pay rate for the person, with the date it takes effect.
  2. Have them track time against the right projects.
  3. At the end of the period, open pay and check earned, paid and unpaid.
  4. Pay them through your usual method.
  5. Mark the amount as paid in Clockgauge, adjusting it if needed.
  6. Use hold or cancel for anything in dispute.

Check that it worked

Earned equals hours times rate for the period, and paid plus unpaid equals earned.

If something goes wrong

  • The rate changed mid-period. Set the new rate with its start date; earlier hours keep the old one.
  • A dispute. Put the payment on hold and review the day-by-day report.
  • Time on the wrong project. Correct assignment going forward.

What to do next

Read payroll and pay rates and pay hourly freelancers from tracked time.

Handling disputes calmly

If a freelancer questions their hours, open the day-by-day report together. Look at when the timer ran, which project and task it was against and the activity level. Most disputes come from time booked to the wrong project, a timer left running, or work done off the computer. Agree how off-computer work is recorded, such as a manual note with a reason, and put it in your agreement.

What to put in your agreement

  • How hours are recorded and who can see the record.
  • How often payments are made and the cut-off day.
  • How rates change and when the change applies.
  • What happens to disputed hours.
  • Who is responsible for taxes and filings in your location.

Take local advice on contractor rules.
